How it runs
  • KofC handles cooking — they bring their own propane setup.
  • SMES helper preps buns + condiment table, plates served orders.
  • Hand off plated orders to runner; runner walks them to register for tally.
  • Pre-orders (PAD) get pulled from the Pre-Order Pickup table — names listed.
Watch out: Allergies: ask if anyone needs a dairy-free or gluten-free option. We don't have alternatives — direct allergic guests to the snacks station for chips/candy options.

How it runs
  • Open coolers are pre-stocked at start of shift; restock from backup bins between waves.
  • Ice rotates from cooler to cooler — keep cans submerged at least halfway.
  • Empty cans/bottles into recycling bin behind your station, not into the garbage.
  • Track approximate inventory each break (rough count is fine — full count at end of day).
Watch out: Deposits are charged at retail. Don't accept returns at the booth — point guests to the bottle deposit recycling box if they want to drop empties.

How it runs
  • Popcorn: machine warm-up takes ~10 min before doors open. Make small batches; refill bags on demand.
  • Cotton candy: refill sugar between every 6-8 cones. Wipe drum monthly — er, after the day's done.
  • Chips/candy: pre-bagged, just hand over. No prep.
  • Cup of Noodles: pour boiling water, hand to guest with a fork. Water kettle is at the back of the station.
Watch out: Cotton candy machine has a hot drum — never touch the spinning head. If sugar drum jams, turn it off and ping the floor lead.

How it runs
  • Cash drawer starts at $200 in mixed bills + coins. Count and confirm at start of shift.
  • Square: open the SMES Concession profile. All items pre-loaded. Just tap the item, then accept payment.
  • Reconcile every 90 minutes: count cash, note total in the shift log, hand off to floor lead for safekeeping in the lockbox.
  • End of day: full cash count + Square close-out. Hand totals to the floor lead.
Watch out: If Square goes offline (HC WiFi can be patchy), switch to manual log: tally items on a paper sheet + take cash. Reconcile after.

What guests will ask

Can I get a refund?

Refunds are case-by-case. Direct to the floor lead — they have discretion. We do not refund at the register without lead approval.

Do you take credit / debit / Apple Pay?

Yes — Square POS handles all card types including tap-to-pay. Cash also accepted. No cheques, no e-transfer at the booth.

Is there a gluten-free / vegan / dairy-free option?

Limited. Chips, candy, and bottled drinks are most reliable. The grill items are not allergen-friendly. We did not bring full alternatives — be honest with the guest, point them at the snacks station.

Can my kid have water for free?

We sell bottled water at $1 to recover cost. There's a public water fountain inside Holy Cross — direct to the lobby. It is fine to give a free water to a clearly distressed athlete; use judgment.

Where are the bathrooms?

Holy Cross main building, ground floor lobby. Map is at the volunteer table.

I need a break — what do I do?

Tell your station partner you're stepping away. If you're solo, signal the floor lead; they'll cover for 5 min. Don't leave a station unstaffed.

Someone wants to pledge / donate cash on the spot

Absolutely — direct them to fundraising.infinitea.ai on their phone, or take cash + a note (name + amount), hand to register volunteer. They'll log it as a general-fund donation.

End of Day Checklist
