A draft joint-venture proposal between the SMES Class of 2027 committee and Holy Cross Regional High School — sharing infrastructure, separating operations, leaving room for whatever shape the HC community wants.

The shape of the proposal

What this could look like

The SMES committee built a complete concession program from scratch in 2025/2026 — three vendor carts, a documented operations playbook, financial reconciliation patterns, a parent claim platform, a financial aggregator, and a day-of volunteer dashboard. A year of late-night spreadsheet work compressed into reusable infrastructure.

The joint-venture proposal is straightforward: SMES brings the platform, Holy Cross brings student-run operations. Hardware, schemas, and patterns transfer; menu, pricing, and event-specific decisions stay with the HC team.

The hope is that HC students gain a working concession program for their own events — sports tournaments, school fairs, student-led fundraisers — without rebuilding the wheel. Year over year, the operation seasons itself.

What SMES would contribute

The shared toolkit

Every piece below was built and operated for the SMES Class of 2027 fundraiser. Each is reusable as-is, or HC students can fork and redesign.

Three concession carts

Hardware: grill cart, drinks cart, snack cart. All food-safe-tested, with prep notes documented. Available for HC student events at SMES partner cost.

Apps Script claim platform

Parent/student claim page with item-by-item pledges, live community thermometer, MyClaims return view, e-transfer + gift card + pickup options. Configurable for any committee in a Google Sheet.

Operations playbook

Day-of volunteer dashboard, shopper mobile list, prep checklists, station-by-station setup notes. Already tested at Guardians of the Net and Guardians of the Court.

Financial reconciliation

Treasurer-grade aggregator covering cash, Square/POS, PAD pre-orders, and pickup pledges. Per-item revenue + expense tracking with margin analysis.

Joint scheduling protocol

Shared calendar between SMES committee and HC student leads. Each event picks the operator (SMES, HC, or joint), shared inventory tracked centrally.

Open to restructuring

If the proposed shape doesn't fit — different revenue split, different operations boundary, different equipment scope — we're open to redesigning. The point is that HC students benefit, not that the proposal looks a certain way.
